Hubspot Administrator

Outsourcey

• Own the end-to-end administration, configuration, and health of HubSpot across Marketing, Sales, Service, and Operations Hubs. • Design and maintain scalable CRM architecture across Contacts, Companies, Deals, Tickets, and Custom Objects, including lifecycle stages and data models. • Establish and enforce naming conventions, property governance, data standards, and access controls (users, roles, teams, permissions). • Act as the internal HubSpot subject-matter expert and escalation point for all CRM-related matters. • Design, build, test, and optimise advanced workflows across sales, marketing, and operations, including lead routing, lifecycle transitions, SLAs, tasks, alerts, and validation logic. • Build and manage sales sequences, templates, snippets, playbooks, and task automation aligned to personas, pipelines, and deal sizes. • Manage unsubscribe logic, suppression lists, consent rules, and email compliance in line with CAN-SPAM, CASL, GDPR, and deliverability best practices (DKIM, SPF, DMARC). • Execute complex data imports, exports, migrations, and deduplication while maintaining strong data hygiene, validation rules, and clean object associations. • Design and manage multiple deal pipelines, including stage definitions, probabilities, required fields, automation enforcement, and forecasting accuracy. • Build executive-grade dashboards and reports covering pipeline health, conversion rates, sales velocity, attribution, lifecycle funnels, and rep performance. • Design and optimise lead scoring and lifecycle management models (MQL/SQL), including decay logic, re-qualification rules, and outcome-driven optimisation. • Maintain clean CRM organisation and object strategy, preventing system sprawl through archiving unused properties, workflows, and objects. • Own HubSpot integrations and automation via native tools, Zapier, and APIs, monitoring sync health, errors, and data consistency. • Partner cross-functionally with Sales, Marketing, Operations, Finance, and Leadership to translate business requirements into scalable CRM solutions, documentation, training, and continuous optimisation.

Job Requirements

  • min 3.5 years hands-on HubSpot administration experience
  • Deep experience with workflows, pipelines, reporting, and integrations
  • Strong understanding of sales, marketing, and RevOps processes
  • Experience with Zapier and API-based integrations
  • High data literacy and comfort with complex systems
  • Strong documentation and communication skills.
