Operations Specialist

• Gather, analyze, and reconcile data to ensure accuracy, identify trends, and support operational decision-making. • Identify inefficiencies, surface opportunities, and develop solutions to improve workflows, systems, and team performance. • Develop and maintain internal documentation, SOPs, and knowledge base resources to ensure information is centralized, accessible, and scalable. • Manage handoffs, implementations, and follow-through across teams to ensure seamless execution of operational processes. • Lead or contribute to projects focused on improving processes, scaling systems, and enhancing operational effectiveness. • Create training materials, guides, and internal communications to support team understanding and adoption of processes and tools. • Partner with internal teams to investigate escalations, document feedback, and contribute to resolution strategies. • Continuously evaluate tools, workflows, and documentation to improve efficiency and scalability. • Assist in preparing team meetings, project reviews, and business updates, ensuring clear communication and tracking of action items.

Job Requirements

  • Minimum of 2+ years of experience in an operations role within an early-stage technology, healthcare, or similarly fast-paced environment.
  • 2+ years of experience enhancing team or system efficiency through process analysis and strategic improvements.
  • Ability to manage multiple tasks and stay organized
  • Strong verbal and written communication skills; able to clearly convey complex information and collaborate effectively.
  • Demonstrated empathy and active listening skills, with the ability to balance compassion and professionalism.
  • Comfortable working cross-functionally across diverse teams and stakeholder groups.
  • Analytical mindset; ability to synthesize data and translate findings into clear, actionable insights.
  • Proficiency with tools such as Google Sheets, Mode, Looker and customer support platforms (e.g., Intercom, Kustomer, HelpScout)
