• Coordinate and schedule executive interviews, partnering closely with executive assistants and senior stakeholders to ensure alignment and a seamless experience • Manage high-touch scheduling logistics across multiple time zones, balancing competing priorities and resolving conflicts with speed and discretion • Serve as a primary point of contact for executive candidates, recruiters, and EAs, providing clear, proactive communication throughout the interview process • Ensure a white-glove experience for executive candidates, anticipating needs and delivering a polished, detail-oriented process from start to finish • Coordinate interview logistics, including agendas, materials, and stakeholder alignment to support effective and efficient interview days • Arrange candidate travel as needed, including flights, accommodations, and itineraries • Maintain accurate data and scheduling activity in Workday and Gem • Identify opportunities to streamline executive scheduling processes and improve efficiency • Support additional recruiting coordination and operational initiatives as needed

Job Requirements

  • High school diploma or equivalent and at least 1 year of relevant experience supporting scheduling or administrative functions
  • Experience coordinating complex interview scheduling for senior leaders or executives, including close partnership with executive assistants in a fast-paced, high-demand environment
  • Strong organizational, communication, and interpersonal skills with exceptional attention to detail
  • Ability to manage competing priorities, exercise sound judgment, and handle sensitive information with discretion
  • Experience with calendar management tools and systems such as Workday, Gem or similar platforms
  • Proactive mindset with a focus on problem-solving and continuous improvement
