Role Description We are hiring a Project Coordinator to support the execution of design and pre-construction projects across the U.S. This role is critical in ensuring projects move efficiently from early-stage feasibility through permitting and documentation. You will work closely with a Project Manager and cross-functional teams—including architects, engineers, and consultants—to keep timelines on track, documentation organized, and communication flowing seamlessly. This is an ideal role for someone with an engineering or construction background who thrives in a fast-paced, detail-oriented environment and wants to grow within the U.S. development and design ecosystem. What You’ll Own - Project Coordination & Execution - Support the Project Manager in overseeing multiple active projects simultaneously - Track project timelines, milestones, and deliverables to ensure deadlines are met - Maintain and update task lists, schedules, and workflows across projects - Proactively follow up with stakeholders to keep projects moving forward - Cross-Functional Communication - Coordinate between internal teams, external consultants, and clients - Act as a central point of communication across architects, engineers, and contractors - Ensure alignment across all stakeholders throughout the project lifecycle - Prepare and distribute clear updates, meeting notes, and action items - Permitting & Documentation Support - Assist with permit submissions and coordination with Authorities Having Jurisdiction (AHJs) - Organize and maintain project documentation, drawings, and reports - Track and manage incoming/outgoing information requests (RFIs, updates, revisions) - Ensure all project files are accurate, complete, and up to date - Reporting & Project Visibility - Support the preparation of client-facing and internal project updates - Monitor project progress and flag risks, delays, or gaps early - Maintain clean documentation to support smooth handoffs and approvals Qualifications - Bachelor’s degree in Engineering (Civil, Mechanical, Industrial, or related field) - 2+ years of experience in construction, architecture, engineering, or project coordination - Strong understanding of design and construction workflows - Excellent English communication skills (C1 or higher, written and verbal) - Proficiency with project management tools (e.g., MS Project, Procore, Navisworks, or similar) - Strong experience with Revit and AutoCAD (required) Requirements - Experience working on U.S.-based projects or with U.S. construction standards - Exposure to permitting processes and coordination with AHJs - Experience supporting multidisciplinary teams in a remote environment Success in This Role Looks Like - Projects stay on schedule and well-coordinated across all stakeholders - Communication is clear, proactive, and well-documented - Permitting and documentation processes run smoothly with minimal delays - Project information is organized, accurate, and easy to access - Risks and bottlenecks are identified early and addressed quickly Key Traits for Success - Highly organized with strong attention to detail - Proactive and accountable—doesn’t wait to be told what to do - Strong communicator and team collaborator - Problem-solver with a solutions-oriented mindset - Comfortable managing multiple priorities in a fast-paced environment Benefits - Competitive monthly salary (based on experience) - 100% remote work environment - 10 vacation days + 7 sick days annually - U.S. holidays observed - Opportunities for growth within a scaling project team - Collaborative, fast-moving, and supportive team culture
