CRM & System Administrator

Take Command

• Maintain and optimize HubSpot Marketing, Sales, and Service Hubs • Build and refine workflows, automation, sequences, and lead routing • Create and manage custom properties, pipelines, dashboards, and reports • Conduct regular data audits to ensure accuracy, cleanliness, and governance • Configure and maintain tickets, pipelines, SLAs, and customer feedback surveys • Partner with client-facing and back-office teams to streamline ticketing processes and improve response workflows • Build automation that enhances customer experience—ticket routing, escalation rules, satisfaction surveys, and follow-up sequences • Support campaign execution by building emails, landing pages, forms, and segmented lists • Collaborate with Marketing, Sales, and the Delivery Ops teams to translate business needs into scalable solutions • Train internal teams on HubSpot features, processes, and best practices • Manage integrations between HubSpot and other business systems • Troubleshoot technical issues, identify root causes, and implement long-term fixes • Work with internal teams and external vendors on system enhancements and API based integrations • Build dashboards and reports that provide visibility into funnel performance, customer lifecycle, and service operations • Track KPIs across marketing, sales, and service to support data driven decision-making • Recommend improvements to processes, automation, and data structure based on insights.

Job Requirements

  • 3–5 years of hands-on CRM administration experience, with deep HubSpot expertise in a B2B environment
  • Deep expertise in HubSpot workflows, automation, lifecycle stages, and lead/ticket management
  • Experience supporting Customer Success or Support teams using Service Hub
  • Strong command of CRM data structures, segmentation, and reporting
  • Experience managing integrations between CRM platforms and third-party business systems, including tools like Intercom and Jira
  • Comfort working with custom-coded elements including troubleshooting scripts, custom workflows, or API-based logic
  • A systems thinker who can translate ambiguous business needs into clean, scalable solutions
  • Excellent communication skills and the ability to simplify complex processes.

• Collect, validate, and file training records from field and classroom sessions, toolbox meetings, and LMS completions into Evotix and other designated platforms. • Maintain accurate and current training completion records for all employees across multiple sites. • Audit records regularly to identify gaps, duplicates, or inaccuracies and resolve them in coordination with site leadership and the Operations Training Manager. • Assist with employee training records in ADP during new hire orientation. • Update employee hearing test records and other compliance documentation as needed. • Maintain files in SharePoint as required. • Serve as the primary administrator of the Evotix LMS, maintaining course content, user accounts, and system configuration. • Curate and validate LMS data to ensure reporting accurately reflects training status at the company, site, and individual level. • Generate and distribute regular training status reports to site leadership and corporate stakeholders. • Identify and communicate training deficiencies or upcoming due dates proactively. • Support implementation of new Evotix modules and assist with user training on system features. • Work with the Operations Training Manager to schedule site and company-level drills, field training sessions, and classroom instruction. • Assign and push training to employees based on role requirements, career-path milestones, and compliance deadlines. • Proactively manage employee training progression from new hire onboarding through ongoing career development. • Track due dates for training requirements across all sites and flag upcoming gaps to appropriate stakeholders. • Support contractor management platforms (ISNetworld, Avetta) to maintain client training requirements as needed. • Work directly with site leadership to ensure consistent use of training systems, processes, and documentation standards across all departments. • Provide consistent communication via email and Slack for training accountability and deadline reminders. • Communicate gaps, process challenges, and systemic issues to the Training Manager and Safety team. • Collaborate with stakeholders to build buy-in for consistent use of training documentation and filing processes. • Assist in formatting training-related documents such as policies, procedures, and work instructions as needed. • Perform other duties as assigned to support safe and effective operations.
