Executive Assistant to VP & Project Coordinator
Red River Technology
The Red Hat Partner Ecosystem team is looking for an Executive Assistant and Project Coordinator to support two Vice Presidents within the organization. In this role, you will report directly to one of the Vice Presidents and serve as the go-to person serving as the point of contact between the leaders and the Red Hat executive and management teams, associates, key business contacts, and customers. You will plan and organize sales meetings, coordinate C-level customer and partner contacts, and ensure a timely response to key correspondence. As an Executive Assistant and Project Coordinator, you will also serve as a project manager for key initiatives supporting the team goals. You will provide clerical support, including preparing expense reports, scheduling travel dates, and answering emails. Successful applicants must reside in a North America state where Red Hat is registered to do business. The leaders are located in the Eastern Standard US and West Coast, so flexibility across US time zones will be expected. What You Will Do: - Plan and attend management meetings, manage the agenda setting, and maintain the actions register - Create an annual schedule of internal meetings and plan for the year in advance, e.g., quarterly business reviews (QBRs) and sales meetings - Plan and ensure quarterly performance review sessions for the Leader and management team - Manage and track key projects and monitor deliverables on behalf of the Leaders - monitor; track and remind of impending deadlines - Ensure that relevant meetings are being noted in the system - Create business presentations from Leader’s ideas and notes for them to present during key customer or internal management meetings - Arrange, attend, and be responsible for recording the minutes of quarterly management meetings; arrange QBRs - Ensure the calendar is managed to maximize effective use of time and to allocate time to critical areas as needed - Arrange relevant conference room bookings, hospitality, etc. - Book all travel with schedules and supporting documents using appropriate Red Hat’s tools - Collaborate with the Talent Acquisition (TA) team to ensure a positive candidate experience - Manage expense reports and purchase orders using Red Hat’s tools What You Will Bring - 5+ years of experience providing professional and administrative support for senior-level executives - Successful record of obtaining solutions and results while demonstrating good judgment and operating within the scope of your assigned authority - Ability to exercise judgment and decision making while maintaining a high attention to detail - Ability to effectively prioritize and meet deadlines in a fast-paced environment - Excellent organizational and planning skills; ability to anticipate the executive’s needs and to determine the best use of their time - Ability to complete assignments with little to no direction and effectively handle unexpected situations - Highly skilled in using productivity software tools, including experience creating presentations and handling budgets and numbers in Excel - Excellent written, verbal, and interpersonal communication skills in English; additional languages are a plus The salary range for this position is $33.92 - $54.28. Actual offer will be based on your qualifications. Pay Transparency Red Hat determines compensation based on several factors including but not limited to job location, experience, applicable skills and training, external market value, and internal pay equity. Annual salary is one component of Red Hat’s compensation package. This position may also be eligible for bonus, commission, and/or equity.
