Proposal Administrator
Carrier
• Coordinate and manage the proposal development process from start to finish • Ensure compliance with RFP requirements, organize timelines, and facilitate collaboration between sales, technical teams, and management • Prepare proposal documents, maintain version control, track deliverables, and support quality reviews to ensure submissions are accurate, complete, and customer-focused • Collaborate with a multi-disciplinary team including sales, development, engineering, and other personnel on the writing, editing, document management, and production of proposals, detailed energy audits, presentations, and other customer communications • Review and provide editorial support for proposal content prepared by technical team members to ensure clarity, accuracy, and compliance • Work with team members on customer needs assessments, proposal win themes, and storyboarding to develop compelling and competitive submissions • Analyze solicitation requirements and establish proposal standards to ensure full compliance with procurement guidelines • Conduct research and coordinate with other departments to address proposal requirements effectively and craft persuasive, differentiating responses • Participate in customer presentation preparation, including slide development and supporting materials • Collaborate with Marketing to develop regional project references, resumes, and other boilerplate content for proposals • Build expertise in processes and procurement requirements associated with energy savings performance contracting and other contracting methods • Manage the procurement of supplies and resources required for document production
Job Requirements
- Bachelor’s degree
- 5+ years of experience in proposal development, technical writing, or project coordination
- Proposal writing and production experience preferred
- Advanced skills in Microsoft Word and PowerPoint for proposal development and presentations
- Familiarity with SharePoint for document management and version control
- Experience with Adobe Creative Suite applications (e.g., InDesign) for layout and design
- Familiarity with the Shipley proposal process and best practices
- Excellent writing, editing, and proofreading skills for technical and marketing content
- Ability to craft persuasive, compliant, and differentiating responses to RFP/RFQ requirements
- Strong attention to detail with the ability to consistently meet deadlines
- Skilled in prioritizing tasks and managing multiple proposals simultaneously under tight timelines
- Effective communication skills and ability to work collaboratively with multi-disciplinary teams (sales, engineering, marketing, legal)
- Ability to work independently while maintaining team alignment
- Willingness to work outside normal business hours on occasion to meet proposal deadlines
- Dependable, with excellent attendance, professional attitude, and ability to multi-task
- Prior work with multi-disciplinary teams preferred in the energy services or construction industries
- Prior collaboration with firms or team members outside one’s own company preferred
- Experience leveraging AI tools for content development, data analysis, or process automation particularly in proposal writing, compliance checks, and quality assurance.
