Role Description The Database + Evaluation Specialist supports the Manager, Data + Evaluation in strengthening the organization’s data collection systems and processes. This role focuses on ensuring that data is gathered, maintained, and organized accurately and efficiently to document and communicate the organization’s impact. Working approximately 10 hours per week, the Specialist maintains and improves data collection processes/tools, supports program staff in consistent data entry practices, and helps streamline workflows that enhance data quality and accessibility. The role emphasizes operational excellence—making systems work effectively, reducing burden on program staff, and ensuring timely, reliable data for reporting and learning. This role requires an average of 10 hours of work per week and can be done 95% remotely (Illinois residents only). Regular availability at least 2-3 times weekly during Monday through Friday 10:00am-4:00pm for scheduled virtual collaboration is required. An initial onboarding meeting must be completed in person at NewRoot’s Chicago West Loop Office. Travel to NewRoot events and/or partner sites throughout the Chicagoland area may be requested quarterly. Essential Duties and Responsibilities - Support the day-to-day functioning of organization-level data systems (e.g., Salesforce CRM, GiveSmart, Constant Contact, FormAssembly, SurveyMonkey), ensuring forms, fields, and workflows operate as intended. - Assist in Beta/UAT testing of data collection/database enhancements. - Conduct routine data checks to identify missing, inconsistent, or incomplete entries; prepare summaries of findings for the Manager, Data + Evaluation to review and address. - Execute system updates and refinements identified by the Manager, including adjustments to forms, dashboards, data fields, and reporting templates. - Document and improve data collection processes to increase efficiency, reduce duplication, and minimize administrative burden on program staff. - Generate recurring data exports and draft basic internal or funder-facing reports for Manager review and interpretation. - Offer technical troubleshooting and guidance related to data entry processes and tools, escalating larger system or design questions to the Manager. - Develop and update data dictionaries, workflow guides, and system documentation to promote clarity, consistency, and continuity. - Perform other duties as requested. Qualifications - Commitment to educational equity and restorative practices. - 2+ years of professional experience supporting data collection, database management, or program evaluation in a nonprofit, education, public sector, or similar mission-driven setting. - Demonstrated experience working with relational database systems (e.g., Salesforce CRM, MS Access, Tableau, or similar database platforms) and online data collection tools (e.g., FormAssembly, SurveyMonkey, Google Forms). - Experience conducting routine data quality checks, identifying inconsistencies, and supporting clean, accurate datasets. - Strong proficiency with spreadsheet programs such as MS Excel, Google Sheets. - Demonstrated problem-solving skills and resourcefulness in resolving complex challenges. - Strong attention to detail and commitment to data accuracy, consistency, and ethical data practices. - Proficiency with Google Office applications (Gmail, Drive, Spaces, and Calendar). Requirements - Experience with SurveyMonkey and FormAssembly. - Experience with SQL or SOQL (Salesforce Object Query Language). - Experience automating data collection using APIs.
