Role Description The Development Assistant provides essential administrative and organizational support to the Development team. This role ensures smooth day-to-day operations by managing schedules, organizing files, supporting task management in Zoho, and assisting with grant-related activities. The ideal candidate is detail-oriented, highly organized, proactive, and comfortable working with minimal supervision. Key Responsibilities - Administrative Support - Schedule and coordinate internal and external meetings, including calendar management and reminders. - Prepare meeting items, take notes, and send minutes. - Manage document saving, organization, and version control. - Task & Project Coordination - Oversee tracking and organization in Zoho Projects/CRM. - Monitor deadlines and provide reminders to ensure the timely completion of projects. - Assist in managing simple workflows for recurring activities. - Grant Support - Assist in tracking grant deadlines, submissions, and reporting requirements. - Support the preparation and organization of grant materials and attachments. - Identify potential funders for LSM by conducting donor research and doing donor write-ups. - Write some grant applications and/or grant reports with the support of the Senior Director of Development. - Communication & Coordination - Draft and edit routine acknowledgement letters and basic donor communications. - Coordinate with staff and partners as needed to gather information or documents. Qualifications - Endorses and embodies LSM values and the Laudato Si’ paradigm in behavior and words; comfortable supporting and working in a faith-based environment. - 1–2 years of administrative, development, or nonprofit experience preferred. - Strong organizational and time management skills with attention to detail. - Proficiency with Microsoft Office/Google Workspace and comfort learning new software (Zoho experience a plus). - Strong written and verbal communication skills. - Ability to manage multiple priorities and work independently with minimal supervision. - Interest in nonprofit development and fundraising. Requirements - Experience using Project Management tools is a plus. Languages - Fluency in English. Role Description The People Operations Assistant will provide essential administrative and operational support to the team, ensuring accurate, timely, and confidential execution of the people operations processes. This role will support key People Operations projects, initiatives, and tasks, ensuring a positive, inclusive, and healthy working environment. Key Responsibilities - Recruitment - Post job ads on the recruitment portal and complete the screening of candidates. - Coordinate the skills test with candidates. - Coordinate and schedule interviews with candidates. - Conduct the reference check for the assigned candidates. - Onboarding - Coordinate with the Operations Administrative Assistant on the development of the onboarding site. - Coordinate the onboarding sessions: develop the agenda, define participants, speakers, dates, and times. - Follow up with managers on the onboarding of new team members. - Remind managers about the completion of the 90-day Review. - Performance - Follow up with staff on completing the Mid-year Review and Annual Reflection. - Training and Development - Support the People Operations Manager in the development of a training plan. - Support the People Operations Manager in the coordination of the manager’s call: prayer, topics, etc. - Volunteer Coordination - Receive requests from managers. - Start recruiting volunteers by posting the offer on Freshteams. - Update and send the volunteer agreement. - Coordinate an onboarding session with volunteers. - Prepare the volunteer certificate and send it to the volunteer. - Internal Newsletter - Collect important information to be published in the internal newsletter. - Coordinate with the Comms team on the internal newsletter publication. - Other - Support specific projects and other activities indicated by the People Operations Manager. - Provide other operational support to LSM staff and other duties as needed. Qualifications - Bachelor’s degree in Psychology, Management, Work Relations, Social Work, or any other related field. - 1 to 2 years of experience working in similar positions, preferably in nonprofits or mission-driven organizations. - Deep understanding of Human Resources processes and management. - Understanding of employment laws and regulations. - Proficiency in Google Workspace, Microsoft Office, Zoom, Slack, and Zoho. - Proficiency in using a Recruitment tool/platform. - Endorses and embodies LSM values and the Laudato Si’ paradigm in behavior and words; comfortable supporting and working in a faith-based environment. - Strong communication and attention to detail skills. - Comfortable working with international teams in a diverse environment. Requirements - 1 year of experience in Volunteer Management. - Knowledge of Internal Communication or former experience developing internal communication tools. Languages - English and Spanish are necessary for this role. French, Portuguese, Italian, or Polish is desirable.
