Role Description The Puget Sound Military Appointing Center is a centralized services center that serves as the primary point of contact for PSMHS beneficiaries as they seek healthcare services, and is therefore a critically important resource in our healthcare delivery system. - Call center manages inbound and outbound calls from beneficiaries, validates beneficiary eligibility, schedules, cancels, and reschedules patient appointments in order to provide timely access to quality healthcare. - Record each beneficiary call using the most current DHA and PSMHS policies. - Process appointment requests via Secure Messaging System, as well as outbound calls for patient care reminders, to include pre-appointment instructions and reminders (lab/radiology/fasting/pre-op surgery, etc.), drive-time mapping capabilities in support of specialty care appointing, as well as outbound letters to beneficiaries referred for MTF specialty care. - Monitor care delivered and ensure the retrieval of health care records from the civilian provider and the delivery of those documents to the beneficiaries' medical record. Responsibilities - Track and account for all MTF generated specialty care that are deferred to the network until closure. - Process all CLRs into the patient's permanent EHR within three working days of receipt, close the referral, and notify the referring provider and/or Primary Care Manager (PCM) that the CLR is awaiting their review. - Track all STAT, Urgent, and Priority referrals. - Initiate efforts to capture the CLR upon request by the referring provider or no later than 60 calendar days from the date the referral was ordered or as soon as a claim is discovered, whichever occurs first. - Perform periodic monitoring of calls handled by the Appointing, Referral, and CLR agents to identify any customer service or training issues. - Report up to management and stakeholders as required. - Adhere to all rules and regulations including but not limited to HIPAA, TJC. - Foster a positive work environment. - Treat all encounters professionally. - Report that details the number of MTF generated initial specialty care deferred to the network, the number of CLRs uploaded into the EHR within 30 and 60 days, total number of CLR reports not received after 180 days, beneficiary referrals canceled and CLR error rates. Qualifications - High school diploma or General Educational Development (GED) equivalency. - Skilled in Word, Excel, Access, and other software programs. - Excellent communication, interpersonal and customer service skills. - Able to define problems and obtain solutions. - Must be able to obtain clearance to access the work site and be granted a Common Access Card (CAC). - Must be able to clearly communicate, verbally and written with coworkers and clinic staff. - Healthcare administrative experience - preferred. - Ability to obtain facility security. Requirements - Must work remotely within the United States from an approved home address. - Must be available and responsive during scheduled work hours. - Dedicated, private workspace with a door required (no shared/common areas). - Must use company-issued or approved secure equipment only. - Required to have wired (Ethernet) internet connection. - Minimum internet speeds: Download: 50 Mbps. Role Description The Puget Sound Military Appointing Center (PSMAC) is a centralized services center that serves as the primary point of contact for PSMHS beneficiaries for PAS, RMS, and CLRS as they seek healthcare services, and is therefore a critically important resource in our healthcare delivery system. - Call center that manages inbound and outbound calls from beneficiaries. - Validates beneficiary eligibility. - Schedules, cancels, and reschedules patient appointments to provide timely access to quality healthcare. - Provides outbound calls to schedule specialty appointments for beneficiaries who have received a direct care specialty referral. - RMS processing supports the timely scheduling of specialty care referrals ordered by MTF HCPs. - RMS services include: - Identifications of specialty referrals to be deferred to the network. - Ensuring processing in accordance with DHA timeliness. - Tracking status of network referrals. - Reviews each MTF generated referral and determines a disposition as either "Appoint to MTF" or "Defer to Network (DTN)" based on specific MTF specialty clinic capabilities, capacities, and DHA access to care standards. - Maximizes the retention of specialty care within the MHS to support the readiness of the Medical Force. - Processes Secure Message Service (SMS) transmittal requests for appointments. - Provides drive-time mapping capabilities in support of specialty care appointing. - Sends outbound letters to beneficiaries referred for MTF specialty care. Role Description Federal Staffing Resources (FSR) is seeking a detail-oriented and service-driven Patient Appointment Services (PAS) Clerk to support the Puget Sound Military Appointing Center in Tacoma, WA. This is a civilian role within a centralized healthcare call center serving military beneficiaries and their families. You will play a vital role in helping patients access healthcare by managing appointments, verifying eligibility, and coordinating with Military Treatment Facilities (MTFs) in accordance with TRICARE access standards. - Answer and manage inbound/outbound calls to schedule, reschedule, or cancel appointments in accordance with DHA policies. - Verify patient eligibility through the DEERS system and update demographic information as needed. - Assist with appointment coordination for both primary and specialty care referrals. - Conduct outbound calls to facilitate timely appointment scheduling, preventive care reminders, and surgery coordination. - Process secure message appointment requests and assist with drive-time mapping for specialty care. - Adhere to access-to-care and drive-time standards to ensure timely service delivery. - Mail appointment information to beneficiaries as required. - Maintain compliance with HIPAA and other regulatory requirements. - Employ customer service scripts and uphold a positive and professional demeanor in all patient interactions.
